Help with Hotel Blocking Please!

Ok, I really have no idea how this works. I called the main hotel I will be using for hotel blocking today, and the person I needed to speak with wasn't there. I got the impression from the person I spoke with, that people only block rooms for the night of the wedding? Is that the case? I thought the point was also to have a place for OOT guests, who will most likely be there for more than one night, right? I don't know. Someone please explain what the deal is! Also are there hidden costs or penalties for rooms not booked? I would assume you would want to cancel them once you had a better idea of amount of guests needing rooms, etc. If anyone has already done their hotel blocking, please help explain this to me.

I know that for the Holiday Inn Express you block rooms and 30 days before the wedding the rooms that were not reserved go back into circulation without cost/penalty to you. I believe you can block for more than one night but I'm not 100% on that one. I would say when you call you could ask them.

ETA maybe they can book for more than one night but it's not at the special rate?

did you try asking your RH because I called up one of the hotels that is by my RH to ask questions and they told me that if Russo's sets it up for me my guests would get a better discount. I know that it depends on the hotel but they do block about 15 - 30 rooms depending on the hotel and most do put the room back into circulation if nobody books before 30 days of your wedding so you arent held responsible ... however I heard that places like East winds makes you put down a deposit for each room you block.

I booked 10-15 rooms at 5 different hotels, 3 nights each (Holiday Weekend). No one is charging me for unbooked nights, they just go back in rotation 30 days prior to wedding. (We have lots of out of towners, and lo and behold, now everyone is telling me they have family on LI that they can stay with . . .who knew??? -- oh well, at least I've got them covered!!!)

im just as lost as you-i still haven't done this yet! I actually called and when they conneted me to the person i needed the answering machine picked up i dont even like talking on the phone to begin with so calling and asking a million questions is giving me anxiety-who wants to block my rooms for me?!?!??!??!??!?

Make sure you check with places - when we called a hotel in Roslyn they charge you for any rooms that aren't booked. The one we're using releases the rooms one month before the wedding so you don't have to pay for them, unless you decide to keep them blocked until the wedding day. Every hotel has a different policy.

Go to www.discoverlongisland.com and email them about needing hotel blocks for an event. They send you a questionnaire, you fill it out, and they send it to hotels who will then contact you with quotes. It's a breeze and saves time!!!

oooo i just did this, i can help!

Im going to FM you my question sheet to ask the hotel if that helps.

I blocked at the hilton. I blocked 50 rooms the night b4 and the night after my wedding. so really 100 rooms. They can add more if i need and i am NOT responsible for paying any rooms that are not used. If i get 10 booked i get a free room 20 booked it gets upgraded to a suite. Guests pay, i leave no Credit Card or deposit and i pay nothing.

i also went to hotelplanner.com and set up a thingy where hotels in the area i want send me thier prices and details and then picked the best ones and called to take further with them. She e-mailed me the contract (Look it over VERY CAREFULLY) make changes on anything you dont agree with and dont sign until you have 1 or 2 other people look at it becuase you dont want to get stuck paying for unused rooms.

let me know if there is anything else i can help you with

oh, and guest booking have to book at least 1 month in advance. on july 16th any unbooked rooms go to the public...

I just blocked my rooms yesterday. I booked with Holiday Inn Express. It was quick and painless. I blocked 50 rooms for the night before and the night of the wedding for OOT guests. They have until a month before the wedding to book. At that time whatever rooms are not booked will be released and I will not be charged at all. They emailed me the contact today and I just have to send it back signed as soon as possible and then they will send the cards with the info you put in your invitations. I had to call and leave messages but once I got the call back its was doen quick.

Figures-My reception hall is in Roslyn, and our honeymoon suite is at the Roslyn Claremont (which I assume you're referring to), so we were thinking the obvious which is block rooms there....Now I have more to think about noooooo!!! Can you explain further on "they charge you for any rooms that aren't booked"? Do they give you a date that you can personally cancel any unbooked rooms? Ah. Me duele la cabeza. :)
